Reduce Credentialing Craziness with these Ten Tips

Want to feel like you have your credentialing under control? Use these 10 tips to make credentialing a breeze.
- Maintain a template application to easily prepare the credentialing application. Incorporate drop down selection when needed. Personalize the application to the applicant by including their name and only the applicable forms.
- Provide the applicant with application checklist so each applicant knows exactly what is needed. This makes the process simpler on the applicant and increases the amount of fully completed applications received.
- Keep a checklist on each submitted application so you are constantly aware of the applicants credentialing status. I use a standard checklist for each application. When filling out the checklist, I include dates that items were submitted to keep track of the application process.
- Verify all credentials including work history and hospital affiliations. It is important to make sure you verify everything that is submitted in the application, run a background check, and keep a photo ID in each file, especially for new applicants.
- Create a system for organization where discoverable information is kept separate from non-discoverable. Each file must be kept in different locations in order to maintain privacy of confidential information. It is extremely important to keep a specific order to these files and separate initial applications from reappointment.
- Keep up to date facility roster that includes all expirable information. This can be as simple as an excel spreadsheet or automated system. Make sure you keep this up to date and set up alerts for when information is expired.
- Track reappointment profile information to make the process easier. Keep track of all data that will be needed on the reappointment profile, communications, and peer references when it comes time for reappointment.
- Complete new application with each reappointment to make sure that all information is up to date. It is good to keep an electronic version of the application that you can send to the provider and ask to update then sign.
- Keep the Delineation of Privileges (DOP) up to date to maintain an accurate list of approved procedures. Providers may add or delete procedures that they are privileged to perform at the facility. Make sure the DOP is relevant and comprehensive. Always ask physicians to complete a moderate sedation DOP.
- Provide credentialed providers with formal appointment letter once the process is complete. Give a copy of the formal appointment letter to the provider and any other applicable parties so that everyone is aware of the dates of their privileges and status.
